Modules for requirements beyond the core features

The three cross-functional modules 5F Sign, 5F White Label and 5F Labels are built for every type of organisation and are used equally by firms, companies and associations. The four specialist modules map processes in tax advisory and audit. The modules section on each industry page shows which modules suit a particular field.

5F White Label brings your organisation's address, logo, login page and email sender into the platform, while the colour scheme and fonts remain those of 5F. Both can be adapted with the 5F Corporate Color Branding service, which can be added to the Custom licence. Get in touch if you would also like the interface in your own colours.

Yes. 5F DATEV consists of two components that you can book independently. The connection to DATEV Unternehmen online is a flat rate for your clients' receipt transfers, while the connection to DATEV DMS is charged per synchronising user. A firm that only wants to transfer receipts does not need the DMS connection, and vice versa.

For an advanced signature, the recipient does not need an account and signs via the link in the email. For a qualified signature, the signatory creates an account with the signature service once and verifies their identity in the process. After that, they authorise each further qualified signature via app or TAN.

Each counterparty receives a personal link that is valid only for their own request. Their response only becomes effective once they click the confirmation link in the email, which confirms the respondent's contact details. Each request keeps its own activity log, and all events are also recorded in the immutable audit log.

5F Konzernabschluss is charged as an annual fee in addition to your licence. Component auditors work in the module as external participants without their own licence, however many entities and countries the group includes. The exact fee is set out in your quote.

Data is captured in the online personnel questionnaire of our partner Fastdocs, which users reach via the partner link in 5F. The completed import file and the PDF documentation are then stored in 5F in the new employee's data room, and therefore in German data centres. Processing within the questionnaire is subject to Fastdocs' privacy policy.

Once a campaign is complete, you export the results as an Excel file and download all documents received in one go. The comments on each case are available as a PDF in the data room. This allows you to transfer responses, discrepancies and their resolution to your audit file in full.

Yes. Your client starts the report via the tile on their 5F dashboard and needs their platform access to do so. This does not incur any licence costs, as clients work in 5F free of charge as external participants. The new employee does not need an account and receives the form link by email.

No. Your client only needs their free 5F account and uploads receipts to the checklist, including from a smartphone via the app. Your firm sets up the link to DATEV Unternehmen online once by signing in to DATEV via 5F and granting the necessary permissions.

Each module has its own annual fee, which is added to your licence. Depending on the module, the fee is based on the number of users or is a flat rate, regardless of how intensively you use the module. Some modules are already included in the Custom licence. The account with our partner FP Sign is free of charge. What you pay for is the Signature user licence per employee, which includes unlimited advanced signatures. Qualified signatures are charged per signature on top.

5F handles the setup; you only need to describe the branding you want. Where changes to your domain are required, we coordinate them with your IT team, which does not need to run any software of its own. 5FSoftware GmbH takes care of the certificates for the address on an ongoing basis.

Signatures created with 5F Sign are legally valid under the EU eIDAS Regulation of 2014, which has applied since 2016 and governs the requirements for electronic signatures in all Member States. With advanced and qualified signatures, 5F Sign offers the two levels that the regulation links to identity verification and evidential value.

Your participants see your logo on the login page and in the platform after signing in. Emails from 5F carry your organisation's sender address and your email signature, as provided to us.

The 5F Desktop Client is installed locally on the workstations of users who are enabled for DMS synchronisation. After a one-time login with a verification code, it stays signed in, synchronisation runs in the background, and multiple DATEV user profiles can be set up in a single installation. Your clients and other participants do not need it; they continue to work in the browser or the app.

5F Lohn is an annual fee added to your licence, regardless of how many of your firm's staff work in payroll and how many new hires your clients report. The exact fee is set out in your quote.

5F Saldenbestätigung uses a flat-rate model. The annual fee depends solely on how many auditors at your firm use the module. The number of campaigns you run and the number of debtors or creditors you contact make no difference, and your counterparties respond free of charge.

Yes. Documents synchronised to DATEV DMS remain in the client's data room in 5F. Your clients and other participants continue to work with them there, while synchronisation places a copy in your DATEV environment and detects duplicates in the process.

Documents are signed as PDF files. If you upload a Word or Excel document, 5F automatically converts it to PDF before signing. PDFs that are password-protected or write-protected, for example in PDF/A format, and PDFs above version 1.5 cannot be signed. Before uploading, save such files without protection and in a compatible version.

Yes. In a signing workflow, a document can be signed by several people in sequence, and you define where each person signs. If a recipient declines to sign, they give a reason, and you can see the rejection in the workflow.

The verification report is stored with the signed document in the data room and confirms the authenticity and integrity of the signature.
