The same documents are filed twice
Receipts arrive by email and have to be found, downloaded and transferred to DATEV one by one. Finished documents are then moved to the DMS by hand, often with queries about where they should be filed. Two systems, twice the work, and every switch creates duplicates and filing errors.
5F connects both routes, so the transfer runs in the background.
DATEV DUo: how receipt transfer works with 5F
Your clients upload receipts to a checklist, sorted by receipt type such as sales and purchase invoices or cash receipts. From there, they go automatically to the matching target folders in DUo. This requires access to DATEV Unternehmen online with the Belegbilderservice (receipt image service) for the client concerned.
Create a financial accounting checklist
In the client's project, you create a checklist for financial accounting. A financial accounting template is provided, so you do not have to build the checklist from scratch.
Link the client to DATEV
You link the client to DATEV once and grant the necessary permissions. You can optionally import existing client records from DUo into the 5F address book.
Receipts flow automatically
Your clients upload their receipts, and you do not have to start the transfer to DUo manually. In the document overview, you can see for each receipt whether the transfer was successful.
DATEV DMS: how document synchronisation works with 5F
You keep working in 5F, and documents from selected workflows are transferred to your DATEV document storage. Synchronisation runs via the 5F desktop client. You need access to DATEV DMS as well as to DATEVconnect and DATEVconnect Dokumentenmanagement.
Set up the desktop client
You install the 5F desktop client (Windows, macOS, Linux), sign in once with a verification code and create a DATEV user profile.
Choose the DATEV variant and target
You choose which DATEV application you use: DATEV DMS, DATEV Dokumentenablage or DATEV Eigenorganisation comfort. You set the document class and document status to suit your environment.
Synchronise per workflow
You assign the profile to the workflows whose documents are to be transferred and choose the target area. Synchronisation runs automatically or is triggered manually.

What is a DATEV interface?
A DATEV interface connects an external application to a firm's DATEV programs so that data can be transferred between the two systems. In practice, this usually concerns receipts for financial accounting or documents archived in DATEV document storage. Without an interface, the same files have to be processed by hand in both systems. 5F DATEV covers both directions.

Yes. 5F DATEV consists of two components that you can book independently. The connection to DATEV Unternehmen online is a flat rate for your clients' receipt transfers, while the connection to DATEV DMS is charged per synchronising user. A firm that only wants to transfer receipts does not need the DMS connection, and vice versa.
No. Your client only needs their free 5F account and uploads receipts to the checklist, including from a smartphone via the app. Your firm sets up the link to DATEV Unternehmen online once by signing in to DATEV via 5F and granting the necessary permissions.
The 5F Desktop Client is installed locally on the workstations of users who are enabled for DMS synchronisation. After a one-time login with a verification code, it stays signed in, synchronisation runs in the background, and multiple DATEV user profiles can be set up in a single installation. Your clients and other participants do not need it; they continue to work in the browser or the app.
Yes. Documents synchronised to DATEV DMS remain in the client's data room in 5F. Your clients and other participants continue to work with them there, while synchronisation places a copy in your DATEV environment and detects duplicates in the process.
