The platform for confidential collaboration
5F combines data exchange and communication in secure data rooms. Firms and companies agree documents with their clients and customers in the document itself.
Data stored in Germany · Built for professionals bound by confidentiality · No charge for external parties · Developed in-house in Regensburg · Free trial after the demo

5F is a cloud platform for secure data exchange and structured collaboration. It brings documents, related communication and tasks together in shared digital workspaces for internal teams and external parties.

Request documents, resolve queries, share results
Once several parties are collecting documents, you need structure. With checklists, data rooms and tasks, everyone can see what is still missing and what comes next.
Checklists
Request specific documents and keep track of what is still missing
Data rooms
Keep the documents and queries for a matter together in one protected place
Tasks
Record open items with an owner and a deadline, and track progress
Secure links
Exchange documents via a link, without the recipient needing an account
5F App
Photograph, upload and comment on documents on the go
Extensions
Extend 5F with further components when your requirements call for it
Built for professionals bound by confidentiality, suitable for far wider use
Professionals bound by confidentiality place particularly strict demands on confidential collaboration. A platform that meets their needs is also suitable for other organisations. What these organisations have in common is not their sector or size but the nature of their work: internal teams and external parties exchange documents and resolve queries about them.

What customers say
In a very short time, 5F has become the indispensable communication platform for us and especially for our clients. 5F takes transparent, structured and therefore effective collaboration to a new level.

5F has enabled us to make communication and data exchange with clients more efficient and more focused. This helps me and my teams enormously. By using 5FSoftware, we have saved time and can concentrate fully on transaction advisory and audit.

We have never experienced a smoother introduction of a new system. Staff acceptance is overwhelming. We also receive a great deal of positive feedback from our clients.

Häufige Fragen
5F brings documents, the queries about them and responsibilities together in a shared data room instead of scattering them across inboxes and folders. Every requested document shows its own status, and every query sits as a comment next to the document it relates to. Participants receive personal access with their own permissions, and every action is traceable in the immutable audit log. All content is stored exclusively in German data centres.
For your review, 5F provides the data processing agreement with the list of sub-processors, as well as the technical and organisational measures. An IT security white paper is available in two versions: a general version available to all users in the platform, and a confidential version for licensees after signing a non-disclosure agreement. On request, we also provide the certification evidence of our hosting and DMS partners.
Yes. Like all data, backups are stored in Germany. Regular backups protect the platform against data loss, and no data leaves the country in the process.
You can sign in to 5F via the login button in the header of this website or via the 5F App on your smartphone. If your organisation uses 5F White Label, you sign in at its own address instead, for example cloud.yourdomain.com. Invited participants receive their access with the invitation and confirm it once.
5F provides standardised export functions that allow authorised users to download documents and content individually or in bulk per workflow and save them locally. This applies throughout your use of 5F and at the end of the contract. You can also export the audit log for archiving.
Yes. If the administrator enforces two-factor authentication for the organisation, employees and external contacts go through the same second step when signing in. Users can choose between an SMS code and an authenticator app.
Data in transit between your browser and 5F is protected by TLS, at least version 1.2, and version 1.3 with stronger cipher suites where the browser supports it. Data at rest is encrypted with AES-256. If the security assessment of a method changes, 5F adjusts its configuration accordingly.
The first point of contact for invited participants is the firm or organisation through which they use 5F. That organisation knows how 5F is used in their case and can obtain further information directly from 5F if needed. This page answers general security questions; for anything else, you can reach 5F at sicherheit@5fsoftware.de.
On upload, 5F blocks file formats that can carry malicious code, such as executable files. Content is not automatically scanned for viruses on upload; when files are downloaded, the antivirus software in your own environment checks them as usual.
