The 5F Onboarding Service provides comprehensive support as you start working with the 5F platform. We work with you to carry out all the essential set-up and preconfiguration steps, so that you can work efficiently from the outset.

• Extended set-up: Beyond the standard set-up, our team handles the preconfiguration of the 5F platform, including additional user accounts and configurations.
• Tailored project structures: In close consultation with you, we adapt the platform to your specific requirements. Working with you, we create made-to-measure project structures and prepare templates.
• Comprehensive advice: We are available throughout the onboarding process to advise you, answer individual questions and help you map your internal processes.

5F Single Sign-On (SSO)

5F Single Sign-On (SSO) provides central sign-in and access management for your organisation's staff, connected to Microsoft Entra ID (formerly Azure Active Directory). This makes using and managing access rights in your organisation significantly more efficient and secure, while reducing the administrative burden through simpler, centralised processes.

• Centralised management: Access to 5F is controlled centrally through Microsoft Entra ID. If a user is blocked or their licence is withdrawn, they automatically lose the ability to sign in.
• Reduced complexity: 5F SSO simplifies the sign-in process and reduces administrative complexity across your organisation's software landscape.
• Efficient onboarding and offboarding: Staff can be added quickly and removed without difficulty, which streamlines administrative processes.

5F Templates

5F Templates provides ready-made checklists that let you collect documents and information efficiently from anyone. The 5F Templates cover a range of areas and save you the time and effort of creating checklists yourself. Simply import templates as an Excel file in a few clicks, save and adapt them, and reuse them as often as you like.

5F Large File Support enables efficient handling of large files within the 5F platform. The service provides features for the end-to-end management and secure transfer of large documents and data volumes.

• Support for large files: Lets you upload, store and share large files of up to 12 GB, making it easier to collaborate on large projects and documents.
• Full integration: The service is fully integrated into the 5F platform, so users can manage large files just as easily as smaller documents.

5F Training

5F Training helps you make the best possible use of the 5F platform in your day-to-day work. Whether as an introduction or to explore specific features in depth, our training is flexible, practical and tailored to your requirements.

• Introductory training for a smooth start: Once you have chosen 5F, we can support you straight away with an introductory training session via Microsoft Teams. No complex installation is needed: simply log in via your browser and get started. We show you the core features and give you the tools you need to work with the platform every day.
• In-depth workshops with individual focus areas: We continue to support you after the initial phase. In one-hour workshops, we address your specific questions, present new features and help you map your individual work processes. The workshops are efficient, practical and save you time.
• Flexible delivery and supplementary materials: Our training takes place via Microsoft Teams, scheduled at times that best suit your working day. You also receive accompanying PDF tutorials and explainer videos that you can refer to at any time.

5F Login Slider

The 5F Login Slider extends the login page of your 5F platform with additional design and communication options. The sign-in area is then not only functional but also a visible part of your external presence. Colours, imagery and content can be tailored specifically to your organisation, creating a professional and consistent first impression.

• Custom design in your corporate identity: The login page of your 5F platform can be visually adapted to your organisation's corporate design. This creates a coherent appearance that clearly associates your platform with your brand.
• Additional space for communication: The integrated slider lets you display current notices, services or organisational information prominently on the login page. The sign-in area thus becomes an additional communication channel for clients, customers or staff.

5F Corporate Colour Branding

5F Corporate Colour Branding lets you adapt the 5F platform to your organisation's corporate design. This includes integrating your own colours and fonts so that your brand is presented consistently. The result is a professional appearance that also strengthens your relationship with your clients or customers.

5F Integrations and Interfaces

With 5F Integrations and Interfaces, we offer extensive integration and connectivity options for the 5F platform. We are open to technology partnerships and work with you to develop tailored projects that integrate smoothly into your existing IT infrastructure and remain viable in the long term.

• Broad integration capability: 5F supports interfaces to various partners and systems, for example many common document management systems (DMS).
• REST API support: The platform provides a REST API in JSON format that enables direct integration into existing IT infrastructures. This facilitates data exchange and the automation of workflows.
• Modular approach: 5F uses a modular approach to implement interfaces flexibly and efficiently. This allows a tailored fit to your organisation's specific requirements.
• Open to technology partnerships: We aim to develop tailored connections through technology partnerships. In partner projects, we provide specific interfaces to ensure optimal integration and collaboration with other systems.

5F Tenant Administration

5F Tenant Administration provides comprehensive tools for administering the 5F platform. It enables central, efficient management of staff-specific and organisation-specific settings.

• Cross-organisational management: Tenant administration is the central tool for configuring the settings of different organisational units, ensuring efficient management of documents, address books, staff and templates.
• Flexible organisational units: 5F enables flexible management of organisational units, which can represent different functional areas, locations, branches or departments. This makes separate administration easier and increases organisational efficiency.
• Centralised licensing: Users can be registered in several organisational units with a single licence, which eliminates the need for multiple licences and saves costs.
• Compliance and traceability: All administrative actions are logged and available for download for tracking purposes, which makes it easier to adhere to compliance policies and to monitor administrative activity.
• Efficient staff management: User management allows central licence management and the blocking of user accounts. The user and staff matrix allows staff to be assigned quickly to organisational units and permissions to be managed centrally, which offers a significant efficiency gain, particularly where staff turnover is high or staff move between departments.
• Complemented by 5F Reporting: The 5F Reporting service provides analyses of platform usage, with graphs and reports. It is included in the Custom licence.

5F Reporting

With 5F Reporting, you gain extended insight into and control over the use and administration of the 5F platform, while protecting sensitive information and carrying out detailed data analyses.

• Extended reporting and data export: Provides detailed reports and export options for participant management, including a participant overview, user data and workflow memberships, to ensure precise tracking.
• Restricted visibility: Lets you restrict the visibility of download timestamps so that participants cannot see this information.
• Together with 5F Tenant Administration, you manage the platform centrally and keep track of how it is used.

5F On-Premises

With the 5F On-Premises service, you run the 5F platform in your own IT infrastructure instead of in our data centres. We define the scope and prerequisites together with you.

• Operation in your infrastructure: The platform runs on servers that your organisation operates itself. The storage location and access to the environment are therefore governed by your own IT policies.
• Joint project planning: We agree the prerequisites, set-up and handover to live operation with your IT team in advance.
• A deliberate decision: 5F On-Premises is a separate project that requires its own effort and leaves ongoing responsibility with you. We recommend it specifically where protection requirements or IT policies call for it.
